The purpose of this information is to present processes for parish ministries,

apostolates, groups, staff, and organizations who meet and serve at St. Mark. 


We are called as one by Christ to embrace a spirit of stewardship and engagement to

Dear Parish Leader,

Thank you for being a part of our parish leadership team. It takes many people to run the 80+ ministries at St. Mark and we could not do it without the volunteers such as yourself who donate their time and talent to keep us moving forward. 

As you know, we have many challenges due to the space limitations of our facilities. This past fall, we started addressing these issues head on with the implementation of our Growing Home Capital Campaign. As you are aware, we are already moving forward with the rectory project. Through the generosity of our parishioner pledges, we have raised $9 million in cash and pledges, leaving us only $700,000 needed to move forward with the adoration chapel and Parish Life Center buildings. In the meantime, we have to find ways that we can all work together to prioritize and share our resources.

Please be assured of my gratitude for your commitment to St. Mark and to building up the Kingdom of God. This is what we are called to do and evangelization has been at the forefront of our efforts. With that being said, we also strive to build a vibrant church community providing a place for our parishioners to connect with one another as they grow in their relationship with the Lord.

This leadership update is designed to help you serve in your role as a leader of the parish more easily. Our hope is that you have the information, tools, and support needed to effectively lead and grow your ministries, apostolates, and organizations at St. Mark.

PORTRAIT of a LEADER 


Leaders are selected for their ability to imitate Christ in His love and service to others and in accordance with special talents that are aligned within the ministry or apostolate in which they are leading. A leader of the parish is a role model for spiritual values, knowledge, skill and behaviors that will help to achieve the goals of the group being led.

As you lead your ministry, apostolate, committee, council or outreach effort, strengthen spiritual values within your group by including an opening and closing prayer. (Click for examples.)

SAFE ENVIRONMENT REQUIREMENTS

Creating a safe environment in our parish ensures that everyone, especially the most vulnerable among us, can grow in faith and community with dignity and peace of mind, knowing our commitment to love and protect one another.


Leaders at St. Mark are responsible for ensuring all volunteers within their group are compliant with Diocesan Safe Environment requirements. Our Safe Environment Coordinator (SER) works with leaders to confirm that all of the necessary paperwork and applicable training is completed by our volunteers. In order to have the most accurate reports, leaders should submit updated rosters or contact lists to the SER Coordinator quarterly. For more details about Safe Environment requirements please visit our website at www.stmarknc.org/safe.


Our Safe Environment program is called CMGConnect and can be found here: https://charlotte.cmgconnect.org/. The Diocese of Charlotte is no longer using Virtus.


Background Checks are now done once, and updated annually by the Diocese. We are now using Safe Haven, instead of Protecting God’s Children. There are yearly modules for Safe Haven that must be completed. You will be notified by CMG and St. Mark when it is time.


There is some understandable confusion regarding who is required to take training. The majority of volunteers are required to take the Safe Haven training. Although the website says “children,” it also applies to the elderly, or other at-risk groups. Only a select few volunteers are able to take the “No Contact” training.


NOTE FOR LECTORS AND EMHCs: An APPLICATION FOR SERVICE form is also required. The form can be found on our website at www.stmarknc.org/SAFE. The form should be printed, signed, and turned into the office.


NOTE FOR VOLUNTEERS 18 YEARS AND YOUNGER: You do not need to complete any forms for underage to be complaint.

As an added protection for all of our volunteers, remember that ALL contact information of volunteers is confidential. All group emails should be sent using a blind copy (BC) and email addresses/phone numbers should not be shared with anyone unless approved by the parishioner/volunteer.

Ministry Platform


St. Mark uses church management software to manage our parishioner database and membership. This program also allows parishioners to manage their accounts and information, and provides group leaders with some new capabilities.

 

Parishioners can login to their accounts and add or edit a family member and their information, update contact information, or address. In the future we will have the ability to view donations and pledge information.

 

Group leaders are able to manage their groups, verify Safe Environment compliance, schedule activities, and communicate with their group members.

 

If you do not already have an account, go to www.stmarknc.org/ministry-platform and click login. If you’re logging in for the first time, select "Create an Account" and provide your name, email, and phone number. Verify your account through the text or email confirmation sent to you. Use the email address on file with the church to avoid creating duplicate accounts. If when logging in, you are not able to see your account, you may have a duplicate. Please contact Sue Bruce at sue.bruce@stmarknc.org to merge the accounts.

 

Once you are logged into your account, you can access Group Life. Any changes or additions to groups can be sent to Sue Bruce at sue.bruce@stmarknc.org.

Reserving Calendar Space


The church is suffering from a severe space shortage. The Growing Home Capital Campaign is specifically designed to raise funds to add much-needed space. Please understand that until we are able to add the Monsignor Bellow Parish Life Center, space needs will continue to be a challenge.

 

This section includes the process and the prioritization of space allocation. Please understand that we are working to serve all of the needs of our parishioners, but there will be times when it is simply not possible.

 

Calendar space is typically requested in the spring for the fiscal year, July 1, 20XX – June 30, 20XX. 

  • Church space requests must be coordinated through Emily Bixler: emily.bixler@stmarknc.org.
  • All other parish spaces must be reserved through Sue Bruce: sue.bruce@stmarknc.org.
  • There are no exceptions. Please allow 3 business days for response.
  • You should be working with a staff or ministry liaison to plan your events.

 

Spaces available include:

  • Monsignor Kerin Family Center: Classrooms, Parish Hall, Kitchen, Playground, Paved Area in Front
  • Church and Paved Piazza in Front
  • Parish Green Spaces
  • Memorial for Life
  • Parish House (Brick Ranch on Stumptown/Former Rectory)
  • St. Mark Catholic School (limited availability)

 

All requests are determined based on mission and priority criteria of the parish and subject to space availability as defined below.


Space Allocation Criteria

When planning an event or program, the following criteria will be used by staff to make decisions. Use this as reference in advance, before approaching staff.

 

Events held in our spaces should be Catholic, parish-based, or Diocesan-based. Events by outside groups will only be accommodated if no other groups are using the spaces. Our priorities for parish-based events are as follows:

 

  • Sacraments and Liturgy: Including Mass and Holy Days, Funerals, Weddings, First Holy Communion, Confirmation, and Ordinations. This also includes rehearsals and receptions for these sacraments as well as Choir practice and other Liturgical Minister training.
  • Faith Formation: K-8 classes, Youth Ministry, St. Mark School, Homeschool, Preschool, Christ the King High School and OCIA.
  • Evangelization and Stewardship: Parish Mission, Welcome Retreats, Small Groups, Family Fellowship, Donut Sundays, Meet and Greets, and SeptemberFest.
  • Spiritual and Corporal Works of Mercy: Thanksgiving Food Drive, Toy Coat and Blanket Drive, Room in the Inn.

 

With so many events at the parish, space allocation has become more and more challenging. We ask that you also consider the following:

  • Be aware that you may need to share space. 
  • We will take into consideration the size of your event or group for space needs.
  • Be flexible with your timing regarding days, time, and location.
  • There are weekly events like OCIA, Fraternus & Fidelis, that have a standing space reservation.
  • On very rare occasions, you may be asked to change your event location or date/time even after you have been scheduled. For example, the Diocese of Charlotte scheduled the Chrism Mass at St. Mark. Subsequently, all events in the Kerin Family Center and Church were cancelled, including St. Mark School and Preschool. Other examples include Bishop Martin’s Ordination and the Sacrament of Confirmation as determined by the Bishop’s schedule.

 

We appreciate your patience, understanding, and flexibility when requesting event space. 


Please note, all outside green spaces must also be reserved to prevent any overlapping of groups. The Church Piazza is limited to two groups after Mass, and only for two consecutive weekends. Tables must be set up past the fountain towards the green spaces. You may not set up or solicit in the Narthex or under the portico. Inclement weather exceptions will be reviewed on a case-by-case basis. All tables must be returned to the Family Center Parish Hall closets.

 

Please do not leave printed fliers or promotional materials in the church Narthex. Please take advantage of the bulletin for this communication. Requests for money or fundraising may be reviewed.

 

Event Setup Guidelines


Please consider the following when requesting event space:

  • Is advance setup needed? Please give a time amount needed (i.e. one hour).
  • Is the kitchen needed? Please allow time to clean the kitchen at the end of your event, using the checklist posted in the kitchen.
  • Are TV/DVD/AV or other equipment needed? Please advise if there are issues with equipment.
  • How much cleanup time is needed? This includes returning the room to the standard layout, wiping tables and sweeping floors if needed, and cleaning whiteboards if used. Mopping may be needed in the Parish Hall or kitchen. Cleaning supplies are available in each classroom. Supplies for the Parish Hall can be found in the kitchen.

 

Rules for using spaces at St. Mark Catholic Church:

  • All items that are brought into the rooms must be taken out that day. This includes food! 
  • Please do not leave leftover food or extra baked goods in the kitchen, classrooms, or refrigerator.
  • Any unlabeled items will be disposed of weekly or sooner if is not in sealed and packaged containers.
  • All spoiled and expired food will be thrown away immediately. (Note: A few groups are permitted to have labeled bins in the refrigerator due to their weekly meetings. No bins may be added without approval. When your ministry season is over, please remove bins until your next cycle.)
  • Do not leave ANYTHING in the Parish House cabinets or refrigerator including cups, napkins, sugar, etc. (Coffee, tea, paper products, are not offered at Parish House.)
  • There is no smoking on any church property.
  • All alcohol must be removed from the facility and cannot be stored in the refrigerators. Underage drinking is absolutely prohibited.
  • Ministries are responsible for setup and breakdown of rooms. There are a few exceptions on a case-by-case basis.

 

Room set up and tear down:

  • We now have setup diagrams for each classroom in the Kerin Family Center posted on the door (see next page.)
  • If you remove tables from the room, they must be returned.
  • Do not leave tables overturned or in the hallway.
  • When you finish your event, return the room according to the diagrams.
  • Chairs in the upstairs rooms do not need to be stacked.
  • Clean all tables, sweep the floors, and erase the white boards. Do not leave anything in the room.
  • Leave the room better than you found it.
  • If you find the room dirty or in disarray, please email Sue.Bruce@stmarknc.org with the time and details.

 


Stewardship of Facility


As good stewards, we understand that everything we’ve been given is a gift from God. Stewardship of Facility means the caring and oversight of the parish spaces that we all use and share. As parishioners, you have invested in the construction and maintenance of our buildings and grounds. As good stewards, we must all work together to care for them. Here are ways that we can all work together: 

 

Children: No child should be unattended anywhere on the property.

Children are not allowed in the kitchen without an adult. This is a safety issue.


Monsignor Kerin Family Center Classrooms


The rooms and spaces are for you and your ministries to use. All spaces must be booked through Sue Bruce. Audio visual tools are available for use in most rooms. Please ask staff to help you with them prior to your meeting.

 

Please leave the spaces the same, or better, than when you arrived. Please do not leave anything behind including food, coffee, trash, office materials, ministry supplies, pens, markers, crayons, tape on the floor, etc. Cleaning supplies are provided in each classroom. Please clean white boards, sweep the floors and wipe down tables. If trash is excessive, please take to the dumpster (Dumpster Lock Code: MASS) and replace trash bags, stored in the kitchen.

 

There is a guide on the door of each classroom of how many tables should be in room. If you remove tables, put them back. Classroom tables should never be left turned over or stacked. This is a hardship and a danger for the next person to use.

 

Kerin Family Center Parish Hall and Kitchen


The wi-fi password for the Family Center is bazaar2015.


The rooms and spaces are for you and your ministries to use. All spaces must be booked through Sue Bruce. (See page 7.) 

 

The Parish Hall may be used for informal gathering provided that space is not booked and in use. There are calendars posted on the sign holder in front of Parish Hall, at the end of the Family Center hallway and outside of every classroom. 

 

Please leave the spaces the same, or better, than when you arrived. Please do not leave anything behind including food, coffee, trash, office materials. Please clean white boards, sweep the floors, and wipe down tables.

 

The kitchen is well-stocked with disposable plates, cups, plastic utensils, napkins for you to use. All of the other cooking and serving implements, stoves, microwave, coffee pots, dishwasher are for you to use but please clean, dry and put away anything that you use.

 

The Coffee Cart is for your use however, the kitchen is also stocked with coffee, tea, and iced tea for your use. Instructions are on the wall. Please clean coffee pots with hot water and return to the kitchen shelves when finished. There is white chalk to mark the pots if needed. Please do not use soap in the coffee pots.

 

Please do not leave any food at all in the kitchen when your event is over. Take it with you or throw it away. Do not leave any food unwrapped, unsealed, or unlabeled in the refrigerator or on the kitchen countertop. All left over food will be discarded. Please do not leave personal pots, pans, dishes, etc. in the kitchen. We cannot guarantee that it will be here when you come to get it. Left over items will be thrown away or taken to Goodwill. The kitchen is used every day, at all hours.

 

Do not bring supplies in ahead of time for your event. We do not have the room to store them and cannot guarantee that they will not be tampered with. It is our hope that all people who use the space find it clean and uncluttered.


If you have a big event and need storage, please discuss with staff in advance. A few ministries that use the space every week are permitted to leave items in the refrigerator and freezer: Mary’s Women of Joy, Fidelis & Fraternus, Respite Ministry, Coffee and Conversation, and Life Teen.

 

Fresh food must be prepped and used within 24 hours. This is a health issue. Please practice safe handling of all food.

 

Please do not tape or secure anything to the stage wall. Note, there are hooks under the valance to secure banners/signs. Please do not allow children to play or attempt to climb the wall. 

 

Please do not stand on the black chairs or use as a ladder. They are not safe to stand on. There is a step ladder in the kitchen.

 

Do not use the wooden altar for anything other than liturgy. It is not to be used as a table or shelf. If you move it to the stage, you must return it to the floor.

 

If you put tape or anything on the floor, including stickers, you must remove it.

 

Audio visual tools are available for use. Please ask staff in advance to help you with AV during regular business hours if you are not familiar with the system.

 

There is limited storage for some ministries in the Parish Hall closet. Please do not take anything from this area and do not allow children to enter. There is a Social Committee section with items which the parish can share. Please take care of items and return them exactly or better than you found them. Do not block the walkway.

 

Parish Hall Tables and Chairs


The church has invested in new lightweight rectangle tables and it is our intention to purchase additional lightweight round tables. Likewise with the lightweight black chairs. This is to make it easier for you and your groups to set up and tear down the room on your own.


Currently there 26 round, 30 rectangle and 9 high top tables for your use. Please do not use them in any way other than their intended use. Do not stand on or stack tables (other than for storage.) There are 10 heavy old rectangle tables that may used as a gaga ball pit. No other tables can be used as a gaga-ball pit. 

 

There are 312 black stackable chairs and carts. The stacking method is unique in that they stack sliding the chair in from the front to the back, not straight down on one another. The chairs can be stacked 30 high. Please do not stack chairs anywhere but on the carts. Do not allow anyone to “ride” on the carts.

 

All tables and chairs should be returned to the closet to the right of the stage with the exception of 8 round tables with 6-8 chairs around each set up on the Coffee Cart side of the room. (See diagram page 10.) Additional chairs and tables from upstairs can be used and then returned if needed.

 

There are two basketball goals. If you move the basketball goals, you must return them to the far wall, facing the wall. Do not leave balls in Parish Hall. They will be removed. Do not allow children to use goals when events are taking place. Children are not permitted to move goals, climb goals, or hang from hoops. This is a safety issue and damages the equipment.


There are four sets of 25-foot, gray, rolling dividers that you may use. Please handle them with care. They were a considerable investment for the parish as well as a donation. Please do not remove them from the Parish Hall nor put them on the stage. They should be closed and returned to the left side of the room when not in use.

 

Please empty full trash cans and take to the dumpster near the school hill entrance if you have hosted a large event. The dumpster lock code is MASS.

 

Playground


The St. Mark Playground is available for parish use outside of the Preschool hours which are M-F, 9 am-2 pm, September-May; or during summer camps. This is a Safe Environment issue.

 

Playground access is through the outside gate, Parish Hall or Kitchen, but the doors are locked from the outside. The playground equipment is designed for children between 3 and 5 years old. Do not allow children to climb on the roof of the playhouses or structures. The picnic tables are for children. Do not allow children to try to open the deck box. The toys inside belong to Preschool and should be kept locked. Please clean up the playground when you leave. Children must be supervised at all times.

 

Outside Grounds


Please do not allow children to pick flowers, play in the mulch, dig in the dirt, move rocks, climb or touch the statues. Do not allow children to play in or throw anything in the fountain. Do not allow children to remove fountain lights.

 

Please do not put anything other than water into the drainage grates. Please pick up all trash, wrappers, etc. The gardens are maintained by a team of very dedicated volunteers not only for all to enjoy, but to give glory to God.

 

Children should be closely supervised at all times. Do not allow children or teens to play in the parking lot. Please communicate this to your ministries.

 

Firepits can be used with permission; all debris must be extinguished. DO NOT DUMP IN MULCH BEDS OR DRAINS! Please empty into garbage bag and put it the dumpster.

 

Copier


There is a copier upstairs for your ministry use. Let us know if you need a ministry code.


Parish House


The same stewardship principles apply. Do not leave ANYTHING in the Parish House cabinets or refrigerators including cups, napkins, sugar, etc. While coffee and tea are provided in the Family Center, this is not the case here and you must bring your own supplies. All trash must be taken to the outside trash cans.

 

There is no smoking on any church property. All alcohol must be removed from the facility and cannot be stored in the refrigerators. Underage drinking is absolutely prohibited.

 

The Church


The church is a sacred space. Please do not bring food or beverages into the space at all. If you must have food for small children, please make sure that all crumbs and wrappers are cleaned before leaving. Please do not bring crayons or markers into the church.

 

The Narthex Bin is for non-perishable foods only or special collections. All fresh meats, bread or produce must be thrown away. Please do not leave donations in the Bin that are not specifically asked for at the time of the collection. We do not have a pathway to donate clothing or household items. All such things will be thrown away or taken to Goodwill.

 

Kitchen and Parish Hall Checklist



We have a new Kitchen and Parish Hall checklist to review when using the facilities. We have stocked the classrooms with brooms and cleaning supplies. If you have any issues with the condition of the building or facilities, please let us know. It takes a tremendous amount of people and resources to maintain the parish properties as they age.

 

Please let stewardship guide you in using the spaces. All that we have is a gift from God. Thank you.

 


Promoting Your Ministry: Creating Announcements for Public, Parish Events


Bulletin

St. Mark prints at least 1500 bulletins each week that are handed out at all Masses as well as available online. Please use this tool as the primary means to promote your parish event or ministry. Communication via the Bulletin allows our parishioners to see what is happening, why they should attend, to be appreciated (thanking our parishioners for their time, talent and treasure) and for recruitment of volunteers. Please note, that we generally do not promote events outside of the parish unless they are specifically Catholic and faith-based.


The Bulletin deadline is typically 10 days in advance of the weekend submission (which is on a Wednesday). From time to time these deadlines may fall earlier due to holidays. 

 

You may submit a graphic, but all graphics should also include a written version for space limitations. PLEASE PUT THE DATE OF THE BULLETIN(S) YOU WANT YOUR ANNOUNCEMENT TO APPEAR IN THE SUBJECT LINE OF YOUR EMAIL.

Mass Announcements

These are read prior to the start of Mass and typically include highlighting a group/event that needs attention but was missed in Bulletin, or referring to groups that are outside after Mass. These submissions should be sent to stewardship@stmarknc.org by Tuesday of the week prior to the announcement request date. All announcements are at the discretion of the administration and will be brief.

 

Posters/Flyers

To reduce clutter and printing costs, we have moved away from displaying posters or flyers. There is one carousel rack in the Family Center where you can place 8.5x 11 flyers to promote your parish-based event.

 

Facebook/Instagram

All posts on social media are created by our Public Relations Coordinator and 100% her discretion.

 

E-Newsletter/St. Mark School Communication

All submissions for the parish e-newsletter and the school are determined and submitted by the Stewardship Department. It is a courtesy that the school permits this.

 

Ambo Announcements

Ambo announcements are made prior to the Homily by our priests at their discretion. All Ambo announcement inquiries should go through the Stewardship Director: Sue.Bruce@stmarknc.org.

 

Communicating with Volunteers

Please remember, ALL contact information of volunteers is confidential. All group emails should be sent using a blind copy (BC) and email addresses/phone numbers should not be shared with anyone unless approved by the parishioner/volunteer. 


Budgets

If budgets apply, they will be requested by the Staff Coordinator or Commission Chair in the spring prior to the new fiscal year. Please note that every group does not have a budget.

Gracious and Loving God, You are the Lord of the past, present and future.

Open our hearts so that we may discern Your will, and trust You in the choices that we make each day.

Renew our lives so that we may always reflect Your love in our encounter with others.

Lord, You alone are the source of every good gift

of the vast array of our universe,

and the mystery of each human life.

 

We praise You and we thank You for Your great power

and Your tender, faithful LOVE.

 

Everything we are and everything we have is Your gift,

and after having created us,

You have given us into the keeping of Your Son,

Jesus Christ.

 

Fill our minds with His truth

and our hearts with His love,

that in His Spirit we may be bonded together

into a community of faithful, caring people.

 

In the Name and Spirit of Jesus,

we commit ourselves to be good stewards

of the gifts entrusted to us.

 

To share our time, our talent

and our material gifts as an outward sign

of the Treasure we hold in Jesus.
